Virtual Assistant / Cohost for Short-Term Rental Management (Guesty Pro + Airbnb Claims Experience)
Overview:
We’re a growing short-term rental property management company based in Nashville, and we’re looking for a Virtual Assistant who can also act as a cohost and back-end operations manager. My property management system is with Guesty, so I would need you to be proficient with that with operations, manage reporting and payments for clients, and handle Airbnb damage claims when things go sideways.
This is a long-term role with serious growth potential as we scale.
Key Responsibilities:
Back-End Operations
Manage and track payouts across Airbnb (most of the income is from airbnb), Vrbo, and direct bookings via Guesty
Maintain accurate commission structures for each client ( % models) ( Are you able to build that out in Guesty?)
Build and send monthly owner reports (occupancy, revenue, fees, etc.)
Organize and reconcile payments and financial documentation - which will be shared with my book keeper to manage my own quickbooks for the business.
Airbnb Damage & Reimbursement Claims
File claims for damaged or missing items within Airbnb’s Resolution Center
Gather supporting evidence: receipts, photos, messaging, cleaner reports
Follow up on open claims and communicate with Airbnb support
Maintain an internal inventory tracker
Escalate and negotiate when needed to secure reimbursements
Cohost Support
As I grow, I may add more responsilbity like guest communication. So I would need you to be available for occasional weekend or after-hours communication (flexible)
What You Bring:
Guesty platform experience is required
Experience managing Airbnb listings and guest communication
Confidence with financial reporting, payout tracking, and organization
Experience filing and managing Airbnb damage claims or Resolution Center disputes
Clear written English and strong communication skills
Familiar Excel
Detail-oriented and self-sufficient — you take ownership of tasks
Bonus: Familiar with different types of rental tools StayFi, Rank Breeze, smart locks, or pricing tools, other tools im not aware of yet.
Availability:
Some availability during CST/EST working hours, (especially during check in and check out times)
Flexibility for weekend/evening messaging preferred but not required, but this is more for future reference.
