SUMMARY

The Administrative Assistant performs a variety of clerical and administrative duties in supporting the assigned departments. 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

      • Practices, supports, and maintains the Mission, Vision and Values of WarHorse Gaming, LLC. 
      • Provides administrative support and assistance to assigned departments. 
      • Meets and greets visitors and notifies staff of their arrival and business purpose. 
      • Utilizes office equipment (copier, fax, computer, multi-line phone, etc.) to perform work/ tasks. 
      • Responsible for all incoming and outgoing communication including phones, emails and faxes, and distribution to correct recipient/ department in an organized and timely manner following established procedures.  
      • Ships and mails correspondence and packages.  
      • Orders and maintains inventory of office and pantry supplies. 
      • Organizes, maintains and updates physical and electronic filing systems.   
      • Works closely daily with numerous property departments to complete tasks as assigned.  
      • Handles questions and concerns brought to the department and ensuring timely follow through to resolution or reference to the appropriate manager or department. 
      • Demonstrates consistent attention to developing and maintaining professional client, team member and vendor relationships. 
      • Promotes positive, solution-oriented communication with clients and fellow team members.  
      • Maintains an organized, neat, safe, clean, and presentable work area at all times. 
      • Conducts phone calls on behalf of department. 
      • Coordinates usage of the conference rooms with the other administrative support team members.  
      • Arranges proper set up for meetings, including but not limited to audio visual equipment and food and beverage offerings. 
      • Prepares reports, power point presentations for meetings. 
      • Documents and distributes meeting minutes and maintains confidentiality of business matters. 
      • Composes and/or edits letters, memos, reports, procedures, etc., as required. 
      • Serves as liaison between departments, vendors, and guests. 
      • Maintains department calendars and directory/list of internal/external business contacts. 
      • Arranges travel including flights, hotel, and ground transportation; May be required to make entertainment arrangements (dinners, shows). 
      • Collects information and conducts research per management request. 
      • Maintains physical and electronic files and documents in an organized manner. 
      • Assists in special events planning. 
      • Performs other duties as assigned
