POSITION SUMMARY

The YMCA of Central Florida is seeking a dynamic individual to join our Human Resources team as the Onboarding & Recruitment Specialist. This is a full-time, non-exempt/hourly hybrid position. The incumbent is responsible for assisting the Director of Recruiting in a variety of Human Resource, Recruitment and Onboarding administrative functions. This position has a dotted line responsibility to the Employment Director. The incumbent acts as a resource to candidates and employees on HR and Recruitment matters and represents the organization on Recruiting initiatives and events. The ideal candidate quickly builds rapport with others, they are naturally proactive, proficient in creating system efficiencies, highly organized and able to effectively execute and prioritize a variety of tasks within a fast-past environment.

Qualifications

  • Associates degree required. Bachelor’s degree in a related field, a plus.
  • Minimum 1-2 years of experience working in human resources, recruiting, onboarding, or other related experience required.
  • Excellent written and verbal communication skills. Able to easily build rapport with others.
  • Excellent attention to detail, organizational and time management skills.
  • Excellent follow through skills and ability to effectively execute multiple tasks.
  • Must be able to multi-task in a fast-paced environment while shifting priorities as needed.
  • Highly adaptable to change and proactive in nature.
  • Proficient in MS Office Suite – Must have Intermediate or above Excel skills.
  • General Tech savvy and interest in creating system and process efficiencies.
  • Experience utilizing a HRIS and proficiency with recruiting software preferred.
  • Experience working with diverse populations a plus.
  • Must be able to navigate ambiguous situations.
  • Bilingual in English and Spanish, a plus.
  • Must be able to maintain a high level of confidentiality

Essential Functions

Job Responsibilities * Provide administrative support and coordination in recruitment and onboarding functions.

  • Maintains and accurately updates the position requisition tracking spreadsheet utilizing the HR/Payroll system and Excel Report.
  • Administrator for the Applicant Tracking / Recruitment module within HRIS. Maximizes system capacity resources and trains hiring leaders within the module to ensure appropriate use. Regularly audits module.
  • Supports the recruitment process by posting all positions, organizing interviews and schedules for multiple calendars.
  • Coordinate any required candidate travel, airfare, hotel, car/transportation, meeting logistics and itineraries for non-local leadership position candidates. Processes reconciliations.
  • Assist with securing and confirming meeting space, and logistics for in-person interviews.
  • Send job offer confirmation letters, regret letters through the ATS, and answers high-level queries about compensation and benefits.
  • Advertise and source job openings on company’s careers page, national vacancy listing, social media, various job boards and internally.
  • Create a centralized recruitment sourcing tracking list for internal use.
  • Coordinate logistics and participate in job fairs as well as host in-house recruitment events. Prepares job fair materials, registration, tracking, other collateral, and invoice processing.
  • Onboard new employees by initiating the required employment screening documents & follow up on the new hire paperwork processing. Notifies HR leadership on any background hits.
  • Where necessary assists with performing verification of employment history and reference checks.
  • Effectively communicates with the HR team and non-confidential details with the hiring leaders on candidate status through the preboarding process.
  • Maintains relationships with candidates, HR, IT, Marketing, and any necessary operations leadership to ensure all is in place for a new employee’s successful first day / week.
  • Completes necessary steps moving the candidates through the HRIS modules from Recruitment, to Onboarding to HR/Payroll; timely and after all contingencies and clearances have been met, performing additional hire related manual duties where necessary.
  • Documents SOP’s for all areas of primary responsibility.
  • Collaborates with the HR team to continuously improve processes related to recruiting, preboarding and onboarding processes.
  • Assists with processing compensation changes, promotions, reporting changes, and other actions within the HRIS system.
  • Maintains a broad knowledge of company policies and benefits offerings to assist candidates and employees.
  • Always acts diligently to protect the personal information of candidates and employees.
  • Create, maintain and regularly produce report generation upon request & compilation of HR / Recruiting metric data.
  • Design, maintain and update job descriptions. Collaborates with SME’s to ensure accuracy.
  • Assist with tracking and processing employee referrals and internship incentives.
  • Maintain the highest level of confidentiality at all times.
  • All other duties as assigned by management.
